Terms for using the InstiPilot website, institute management platform, desktop application, and connected features.

1. Scope and acceptance

These terms apply to the InstiPilot website, institute management platform, desktop application, and related features. By using the service, you agree to these terms. If you act for an institute, you must have authority to do so. A separate written agreement may set specific commercial or service terms and takes priority where it expressly differs.

2. What the service provides

InstiPilot provides tools for institute operations, including enquiries, admissions, enrollments, fees, batches, attendance, staff, inventory, and communications where available. Feature availability depends on your plan, configuration, device compatibility, and service readiness.

Website product previews use demonstration information. Future plans, paperless-management goals, and illustrative previews are not commitments that every process or integration is currently available.

3. Accounts and institute administration

Keep account details accurate and credentials confidential. Administrators are responsible for assigning appropriate permissions, removing access when staff leave, and securing shared computers and connected devices. Do not share accounts in ways that prevent reliable identification of the person making a change.

Notify us promptly of suspected misuse or unauthorised access. InstiPilot may require verification before assisting with access, account changes, or sensitive data requests.

4. Your records and responsibilities

The institute remains responsible for the accuracy, legality, and completeness of its records and for the notices, consents, and permissions needed to process student, guardian, staff, and other personal information.

Review fee calculations, concessions, refunds, attendance corrections, and exports before relying on them. Recording a payment in InstiPilot does not itself move money. Recording a refund does not itself return money to a student. The institute remains responsible for the underlying transaction and any legally required receipts or records.

5. Permitted use and ownership

You may use InstiPilot for authorised institute operations under your applicable agreement. You retain your rights in the records, logos, documents, and content you provide, and permit us to process them as needed to provide and support the service.

InstiPilot’s software, branding, and website content remain the property of their respective owners. You must not attempt unauthorised access, circumvent access controls, disrupt the service, upload unlawful material, misrepresent records, or use communications features for spam, harassment, or unlawful messaging.

6. Desktop and attendance hardware

Desktop and hardware features require supported equipment, configuration, permissions, and connectivity. Compatibility with every reader, biometric device, printer, or operating-system version is not guaranteed.

Keep devices physically secure, maintain their configuration, and review attendance outcomes when equipment or connectivity fails. The institute decides how attendance information is used for its own policies and must not rely on a monitor display alone as proof that every record is correct.

7. Third-party services and messaging

Hosting, authentication, device connectivity, and communication may depend on third-party systems. WhatsApp connection, template approval, message delivery, limits, charges, and restrictions are subject to Meta’s systems and policies.

Institutes must have any required recipient permissions and follow applicable messaging rules. A submitted message is not a guarantee of delivery. We cannot control third-party decisions, outages, or charges, but will provide support for our integration within the applicable service arrangements.

8. Subscriptions, billing, and cancellation

Prices, included features, billing periods, renewals, third-party charges, cancellation, and any refund terms are defined in your order, invoice, or written agreement. These terms do not create a separate free-trial or refund entitlement.

Before ending a subscription, discuss export and closure arrangements with us. Cancellation, account suspension, and permanent data deletion are different actions; see the Data Retention Policy for deletion requests.

9. Availability, changes, and support

We work to maintain service reliability, but interruptions can arise from maintenance, updates, connectivity, security events, hardware, or third-party dependencies. No specific uptime, support-response time, or recovery commitment applies unless agreed in writing.

Features may change as the product develops. Contact us about material workflow concerns or support needs. We may restrict access to address security threats, unlawful activity, abuse, or unpaid charges under the applicable agreement.

10. Data protection and closure

Information is handled as described in the Privacy Policy and applicable agreements. After termination, retained records and deletion are subject to lawful retention requirements, account authority, and verified requests. Arrange any required export before closure; we do not promise indefinite access after termination.

11. Limits and disputes

To the extent permitted by applicable law, the service is provided without a guarantee that it will be uninterrupted, error-free, or suitable for every individual requirement. We do not exclude liability or rights that applicable law does not allow to be excluded.

To the extent permitted by law and subject to any separate agreement, InstiPilot is not liable for indirect or consequential losses arising from use of the service. Contact us first about a dispute so we can try to resolve it. Applicable law and any governing-law or dispute provisions in your signed agreement will apply.

12. Contact and changes

For service or terms questions, email admin@instipilot.com. Updated terms will be posted with a revised date. Material changes should be reviewed before continued use; any additional notice requirements under your agreement or applicable law still apply.
